Bookings and Deposits
A booking is made by payment of a £250 deposit. This payment, once confirmed in writing by Education Together, secures the participant’s place on the Main Programme and any supported travel selected. Education Together also offers optional Supported Travel, under which Participants are accompanied by Education Together staff when travelling between a specified European collection point and the UK on transport arranged by Education Together. Payment of the £250 deposit also secures supported Travel. For the avoidance of doubt, the Main Programme can be booked without Supported Travel. However, Supported Travel may only be booked in conjunction with the Main Programme. Deposits are payable at the time of registration. Until the deposit is received, Education Together cannot guarantee a place. Following the 14 day cancellation period (see below), the deposit is non-refundable.
Balance of Payment
The total price and outstanding balance for the Main Programme and, where booked, Supported Travel will be available prior to booking on Education Together's website and confirmed in writing when the Participant's place is confirmed. The balance fees must be paid by the following dates:
- Easter: 5 January 2027
- Summer: 1 May 2027
If full payment is not received by the due date, Education Together reserves the right to cancel participation and retain the deposit and any other sums paid in line with the cancellation terms (see below). The preferred payment method is online. If this is not suitable, alternative methods may be arranged on request. However, participation will only be confirmed once funds have been received.
14 Day Cancellation Period
Education Together provides a 14-day cancellation period from the date on which a deposit payment is received. If you cancel in writing during this period, all payments made will be refunded, except where services have already been provided and as the law permits.
Cancellation Terms
All cancellations must be made in writing. If you cancel your booking after the 14-day withdrawal period, the following charges apply:
- More than 12 weeks before the start date: loss of deposit only.
- 12–6 weeks before the start date: 50% of the total price of service cancelled.
- 6 weeks–14 days before the start date: 75% of the total price of service cancelled.
- Fewer than 14 days before the start date: 100% of the total price of service cancelled.
These cancellation charges reflect the costs and commitments incurred by Education Together as the programme approaches, together with the reduced opportunity to offer the place to another Participant.
Early Termination During the Trip
If a Participant voluntarily leaves or is withdrawn from the programme after it has started, Education Together will not normally provide a refund for unused services, except where required by law. Parents remain responsible for any additional return travel costs and for making appropriate arrangements for the Participant's onward care and supervision.
Travel Documents
Participants and their guardians are solely responsible for obtaining the necessary travel documents (passport, visa, entry permissions). If the participant is refused entry to the UK due to inadequate documentation or other immigration related reasons, it may not be possible for them to participate in the programme. In these circumstances, Education Together would not ordinarily provide a refund, except where required by law.
Parents are also responsible for ensuring that the Participant arrives at the agreed collection point at the stated time and is fit and able to travel. If a Participant misses the agreed departure because of illness, delay or another circumstance outside Education Together's control, Education Together cannot guarantee that alternative travel can be arranged. Any reasonable additional costs incurred in arranging alternative travel will normally be the responsibility of the Parent.
Behaviour and Responsibility
Participants are expected to follow reasonable instructions from staff and group leaders. In cases of serious misconduct (for example, repeated refusal to follow safety instructions, bullying, unlawful behaviour, or behaviour that presents a significant risk to the Participant or others), Education Together reserves the right to terminate participation and require the Participant to return home. No refund will be issued in such cases. Where participation is terminated, the Parent will be responsible for arranging and paying for the Participant's return travel. Education Together will continue to take reasonable steps to safeguard the Participant until they are handed over to the Parent.Parents will be expected to make these arrangements promptly and, wherever reasonably possible, within 24 hours of being notified that participation has been terminated. If a participant is not able to travel independently to their home country, a parent or other adult nominated by a parent will be expected to chaperone them at their own expense.
Duty of Care
For Participants using Supported Travel, our duty of care begins when our representative registers the Participant at the specified overseas collection point and ends when the Participant is handed over to a parent or nominated adult at the specified overseas return point at the end of the journey. For Participants travelling independently to and from the UK, our duty of care begins when the Participant is registered by our representative at the specified UK meeting point and ends when the Participant leaves our supervision at the specified UK departure point. During flights and other third-party transport services, the relevant carrier remains responsible for the safe operation and provision of its transport service. This does not affect Education Together's responsibility for the reasonable supervision and safeguarding of Participants while they are in our care.
Insurance
Parents are responsible for arranging appropriate travel insurance for the Participant, including appropriate cancellation, medical, accident, liability and baggage cover.
Health and Medical Information
Shortly after registration, Parents will be asked to provide full and accurate information about any medical conditions, allergies, disabilities, medication or additional needs. They should do so promptly and discuss any reasonable adjustments necessary to ensure safe and meaningful participation. They must also inform Education Together of any subsequent changes before or during the programme.
Failure to disclose information that materially affects our ability to safely accommodate the Participant or other Participants may result in participation being refused or, where the programme has already begun, terminated. Education Together will consider the individual circumstances and any reasonable steps that can be taken to support participation before making such a decision.
In the event of a medical emergency, Education Together staff will act in the best interests of the participant and will defer to qualified medical professionals, who may provide treatment without prior parental consent if necessary to preserve life or prevent serious harm. Parents/guardians will be informed as soon as possible.
Data Protection
Personal data provided to Education Together will be processed in accordance with our Privacy Notice, available on our website. This includes information required for the delivery of the programme, safeguarding, and legal compliance. By registering for a programme, you acknowledge that we will process personal data for these purposes.
Photography and Media Consent
Photographs and video may be taken during activities for the purposes of documenting and promoting our programmes. Education Together will only use images of participants for promotional purposes where parental consent has been provided. Consent is optional and may be withdrawn at any time. Withdrawal will apply to future use of the Participant's image.
Complaints Procedure
If you are dissatisfied with any aspect of our services, please raise the matter promptly with a member of staff so we have the opportunity to resolve it during the programme. If the matter is not resolved, complaints may be submitted in writing to Education Together within 28 days of the programme ending. We will acknowledge all written complaints within 14 days and aim to resolve them fairly and promptly.
Changes, Liability and Extraordinary Circumstances
Education Together may make reasonable changes to the programme, accommodation, timetable or activities where necessary for operational, educational, safety or other reasonable reasons. Where changes are made, we will take reasonable steps to ensure that the overall value and experience of the programme are not materially reduced.
In the event of extraordinary or unavoidable circumstances (e.g. natural disaster, strike, pandemic, government restrictions), Education Together may cancel or modify services. In such cases, refunds will be made in accordance with applicable law.
Education Together will take all reasonable steps to ensure the safety and wellbeing of participants. However, we cannot accept responsibility for events beyond our reasonable control, including (but not limited to) industrial action, natural disasters, pandemics, acts of terrorism, or delays caused by third parties such as airlines or transport providers.
Nothing in these Terms and Conditions excludes or limits our liability for death or personal injury resulting from our negligence, or any other liability which cannot be limited by law.
Nothing in this section affects any statutory right to cancel the booking without a cancellation charge where unavoidable and extraordinary circumstances significantly affect the performance of the booked services or the carriage of Participants to the destination.
Programme Viability and Cancellations by Us
All programmes are subject to a minimum number of participants. If this minimum is not met, Education Together reserves the right to cancel the programme. If a programme is cancelled because the minimum number of Participants has not been reached, we will notify you no later than 20 days before the programme begins and refund all payments made to Education Together. We are not responsible for any additional costs incurred by you (such as flights not booked through us), and we strongly recommend appropriate travel insurance.
Governing Law and Jurisdiction
These Terms and Conditions and the contract between you and Education Together are governed by the laws of England and Wales. This choice of law does not deprive you of any mandatory consumer protections that apply under the law of your country of residence. Nothing in these Terms and Conditions limits any right you may have under applicable law to bring proceedings in another competent court.
